Company workflows

Teach your team the approved way to do tasks in any web app, including tools you didn't build such as Salesforce or your HR system.

Company workflows are for the software your team uses, not the software you sell. An owner records how a task should be done ("Submit a purchase request", "Raise an invoice"). Employees then get guided through it on the real page, by asking the chat bubble or picking from the workflows meant for their role. No changes are needed to the app itself.

You'll need: the Chrome extension for everyone involved, and the app's domain added as a site under Administration → Sites in the dashboard.

For owners: publish a workflow

Owners need the guide-builder permission. Ask your 3Guide admin if you don't see the owner option.

Open the app in Chrome and sign in to it, then open the extension. When asked "How will you use 3Guide here?", choose I build or own this app — teach 3Guide our workflows. You can change this later with Change under Company workflows on the home screen.

Create the workflow in one of three ways:

  • Record a workflow: give it a name (e.g. Submit a purchase request), click Start recording and do the task.
  • Describe a workflow: write the steps as you'd explain them to a new colleague, then Draft and review on this page. 3Guide turns your description into steps in a few seconds.
  • Import from a demo: turn an existing Guide Pro demo into a workflow with Import and review on this page.

Review it on the page. 3Guide plays the draft on the live app so you can check every step lands on the right element. Fix anything that's off.

Publish it from the dashboard: Content → Company Workflows lists each workflow with its status, version, audience, number of steps and owner. Set the audience so the right roles see it, then publish. You can unpublish or archive a workflow at any time.

For employees: get guided

  1. Open the app and the extension. Choose I use this app — guide me through our workflows.
  2. Optionally add your Job role (e.g. Accounts Payable) and Department (e.g. Finance), so you see the workflows meant for you.
  3. Either pick a workflow from Workflows for you, or turn on the Chat Bubble and ask "how do I…". You're walked through it, step by step, on the real page.

Fill the gaps

In the dashboard, Content → Company Workflows also shows Tasks employees asked about with no workflow: the questions people asked where no approved workflow existed yet. For each one you can:

  • Create a workflow to answer this: describe How is it done? and 3Guide drafts it for you to review in the extension, or
  • Mark answered by… an existing workflow.

This is the quickest way to find out what your team is struggling with in the tools you pay for.
